Privacy Policy — Live Event Clipping

1. Who we are

This event submission page is operated by Columbia Records UK, a label of [Sony Music Entertainment UK Limited, registered address / company number to be confirmed]. For the purposes of UK GDPR, we are the data controller for the information you submit here.

2. What we collect

• The TikTok video link you submit.
• Your email address (used to send your PayPal payout — we don't collect any card or bank details ourselves).
• Public engagement stats on your submitted video (views, likes, comments, shares), fetched from TikTok via our third-party data provider, Apify, to calculate what you're owed.
• Standard technical data our hosting providers log for any site visit (e.g. IP address, browser type).

3. Why we process it, and our legal basis

We use this data to verify your submission is eligible, calculate your earnings, and pay you — this is necessary to perform the agreement you enter into by submitting a video (UK GDPR Art. 6(1)(b)). We also use the video link and submission timing to detect duplicate or fraudulent entries, which we rely on legitimate interest for (Art. 6(1)(f)).

4. Who we share it with

We share the minimum needed with:

• Apify — to fetch public engagement stats for your submitted video.
• PayPal — to send your payout to the email address you provide.
• Vercel and Neon — our hosting and database providers, who store this data on our behalf.

We don't sell your data or use it for marketing.

5. International transfers

Our hosting providers may process or store data outside the UK and EEA (e.g. in the United States). Where that happens, we rely on their standard contractual clauses and equivalent safeguards.

6. How long we keep it

We keep submission data for as long as needed to process your payout and meet our accounting and tax record-keeping obligations [exact retention period to be confirmed]. You can ask us to delete it sooner — see your rights below.

7. Your rights

Under UK GDPR you have the right to access, correct, delete, or restrict the data we hold about you, to object to our processing, and to receive your data in a portable format. You can also complain to the UK's data protection regulator, the Information Commissioner's Office.
